University clinics

Research groups at a regional hospital in the Central Denmark Region have the opportunity, in special cases, to become more clearly organizationally affiliated with Aarhus University through the establishment of university clinics under the Department of Clinical Medicine.

An appointment expresses the Central Denmark Region and Aarhus University's joint recognition of a well-consolidated research group's expert status within a specialty or field of study as described in the Agreement on university clinics between Aarhus University, Health and the Central Denmark Region (in Danish)

The approval process

The process is long, expect three years, and consists of meetings, professional discussions and approvals in various forums at both Aarhus University and the Central Denmark Region.

The process step-by-step

Time

Internal processes in the two organizations

Approx. two years before application

The applicant group initiates a dialogue with DCM about the desired university clinic's professional subject area and the responsibilities within research and education at university level. The contact person is the deputy head of department for regional cooperation. The academic coordinator at the regional unit and a chair, if one exists, must be involved.

It is the applicant group's responsibility to involve department and hospital management.

1 March of the year before application

2nd quarter of the year before application

The applicant group sends the precursor to the actual application (description of subject area, outline of research plan and overview of the group of people with CV and bibliometrics) to DCM's deputy head of department for consideration and comment by DCM's recruitment committee.

3rd quarter of the year before application

Internal process in the Central Denmark Region, where subject area and title are commented on regionally – see Central Denmark Region's process description

15 January of the application year

Internal process in the Central Denmark Region for approval of application at management level– see Central Denmark Region's process description

1 March of the application year

Internal process in the Central Denmark Region for submission of final application to DCM– see Central Denmark Region's process description

Quarters 2-4th of the application year

DCM receives final application from Central Denmark Region and sets up an impartial assessment committee. In case of positive university assessment, the parties recommend final approval at an Aarhus University-Central Denmark Region meeting. Depending on the frequency of meetings, approval can take up to six months.

The official start date for the university clinic is then agreed between DCM and the head of the university clinic.

Templates for use at DCM

Application for university clinic

An application for appointment as a university clinic can take different forms but is always based on a common template.

At an early stage in the process – typically in the 2nd quarter before the final application – the following information must be provided:

  • Subject area
  • Personal data (specified for each person)
  • Points 1–6 in the template

It is not necessary that all fields are fully completed, but the material must provide a clear picture of the research group's ambitions and professional level.

The feedback from the recruitment meeting will clarify whether Aarhus University can support a further process and what, if any, needs to be improved before the Central Denmark Region can be involved.

Re-application five years after approval

After five years, all university clinics must be re-evaluated. This is done based on a separate template that is submitted to DCM no later than six months before the current appointment period expires (calculated from the official start date).
