Who does what, where and when

Professors employed or with a workload reduction of 50% and above (18.5 hours/weekly or more)

As an ordinary or clinical professor with a workload reduction or employment of 50% or more, the Dean's secretariat will help you coordinate the participation of a member of the Dean's management team including preparation and distribution of invitations. However, you will be the main coordinator - maybe with some practical assistance from a local secretary.

A management representative from the Dean's office will give the welcome speech.

You will find the process step-by-step below.

1. Offer for inauguration lecture

In connection with your appointment as an ordinary or clinical professor, you will receive an email from HE HR, in which they offer you the opportunity to give an inaugural lecture. Subsequently, you will receive an email from the student workers at the Dean's office guiding you on the proces.

If you accept the offer, you will be the one to initiate the process by starting the planning of the event.

2. Who should participate in my inauguration lecture?

If you are a professor WITH clinical affiliation (applies to all clinical professors), you must coordinate and ensure participation of the following:

  • Your deparment management
  • The local hospital management
  • DCM's head of department
  • When the above participants are booked, contact the Dean's office: Faculty secretariat, HEALTH
  • Who you wish to invite

If you are a professor WITHOUT clinical affiliation, you must coordinate and ensure participation of the following:

  • Your immediate AU/DCM manager
  • DCM's head of department
  • When the above participants are booked, contact the Dean's office: Faculty secretariat, HEALTH
  • Who you wish to invite

PLEASE also note

  • The Dean's office will ask for 2 date proposals (participation of the above mentioned paticipants have been aligned prior to this).
  • Coordination with the Dean's office must be arranged via the student workers at the Dean's office (and not directly with the dean nor the vice-dean) - Contact: studentermedhjaelp.he@au.dk

3. Booking of auditorium

You or a local secretary/professor's secretary should ensure to book an auditorium for the event.

If you are affiliated with one of the regional hospitals, you will must likely be able to book rooms locally, for example auditoriums at AUH. Ask a local secretary for advice.

4. Booking of reception

You or a local secretary/professor's secretary must book a room for a subsequent reception, if any.

Note: Your own department management is hosting the event and must cover the expenses.

5. Information about the event to the Dean's office

You or a local secretary/professor's secretary must send the below information to studentermedhjaelp.he@au.dk. The information must be in both Danish and English. Based on this, the Dean's office will draft an invitation.

  • A lifelike photo
  • Name and address of the location, where the event will take place
  • Professorship within which master's thesis or research area?
  • Title of your lecture
  • State, if your lecture will be held in Danish or English
  • Other: e.g. informal reception after the lecture. If registration is required, the Dean's office should receive registration link or the name of a contact person to receive registrations and, if any, a closing date for the registration.

6. Sending the invitation

No later than 4 weeks prior to the inaugural lecture:

  • The Dean's office, HEALTH sends the invitation to:
    • Participants from Aarhus University/Health i.e. Dean's office, department and secretariat managers, clinical  professors and faculty secretariat.
    • AUH hospital management. However, you must invite your own hospital management.
  • If you are a professor with clinical affiliation (or clinical professor), you must ask your department management to distribute the invitation to relevant representatives from AUH/regional hospital (including 1 representative from the hospital management, who participates as a guest) including others, you wish to invite.

7. Information on research area and local contact

The vice-dean or dean will be welcoming you and the guests and say a few words about you as a short introduction. To support this, we ask you to provide information about your research area as well as the name of one or more colleagues/or others you collaborate with, and can supply with some personal information about you.

To obtain this, DCM's secretary will send you a form that you need to fill out approx. 6 weeks prior to the lecture. But please feel free to complete the form right away.

8. Holding the event

In most cases, it will be a management representative from the Dean's office who welcomes at the inaugural lecture.
